The business was using an age-old, legacy ERP systems to manage their manufacturing which had following limitations:

In order to resolve the above-mentioned issues, the management decided to implement MetricsERP (Cloud based ERP/CRM/POS application for small and medium businesses) to integrate all their business operations and improve efficiencies.

  • Legacy Systems: The company had numerous disconnected legacy systems, including separate software for accounting, inventory, and production scheduling. Integrating these systems with an ERP solution was a significant technical challenge.
  • Resistance to Change: Employees, particularly from production and accounting, were accustomed to their old systems and processes. There was concern about the learning curve and potential disruptions to ongoing operations.
  • Data Migration: Migrating historical data from multiple systems to the new ERP platform was complex. Data cleansing and validation were required to ensure that the new system had accurate and consistent data.
  • Customization Needs: The business needed a flexible ERP solution capable of adapting to the unique requirements of their production environment, which included accurate cost estimation for quoting purposes, custom orders, efficient Cut Piece Raw Materials utilisation, and complex bill-of-materials (BOM) structures.

The business decided to implement MetricsERP, a robust, scalable, and user-friendly cloud-based business management system that includes ERP/CRM/POS designed for small and medium businesses. The solution was selected due to its customization ability, scalability, real-time processing capabilities, and extensive support for manufacturing workflows. The implementation was planned in phases, focusing on the following key areas:

  • Production, Planning and Scheduling:

  1. MetricsERP Work Order module provides a graphical view of machine loading and availability. An intuitive interface allows Production Managers/Supervisors update the scheduled start of manufacturing operations based on material and resource availability.
  2. The MetricsERP iOS/Android app driven real-time manufacturing tracking of work orders allowed managers to view the current operation status of work orders and adjust production schedules based on machine availability, labour resources, and material supplies.
  3. Detailed capability to analyze manufacturing cost (both estimated and actual), variances and margins. Cost component is broken down into Material and Resources.
  4. Ability to create subcontractor purchase orders for the outside processing operations directly from the work orders facilitates efficient tracking of the outside processing operation and related costs.
  5. Robust Quality Management capability ensures all quality attributes meet the expected threshold prior to delivering the finished goods to the store.
  • Inventory and Supply Chain Management:

  1. Comprehensive Item Master/Catalogue management capability rolled out to track every technical attribute as well as the manufacturing, planning, stock management, category, unit of measure, quality attributes of the products.
  2. Efficient and Intuitive purchase requisition management and approval-based Procurement management capability enables smooth vendor coordination, supplier price list management and on-time material availability.
  3. Robust stock management capability included GRN and quality management, graphical analysis of stock availability, visibility to the non-moving stock and stock movement flow.
  4. Comprehensive cost management module implemented to track item cost based on standard and average cost management principle. The “Lot Cost” sub-module provides the lot wise cost visibility for the lot-controlled items. The “Cost History” submodule provides comprehensive visibility of all previous cost information and upward/downward trend.
  5. The Min-Max and MRP (Material Requirement Planning) engines constantly monitor the item demand/supply scenario and makes proactive procurement and manufacturing recommendations for the Make and Buy items. This ensures material availability and avoids any stock out scenarios.
  • Customer Relationship Management (CRM):

  1. MetricsERP includes a robust CRM capability that provides omnichannel lead generation module, efficient follow up capability, activity log and sales quote management capability.
  2. Sales Quote auto follow up feature significantly increased the quote to order conversion percentage leading to more revenue for the business.
  3. MetricsERP iOS/Android app helped management generate new leads for the business while they are on the road to meet potential customers or attending any business networking events.
  4. Intuitive drag-and-drop user interface based Lead Kanban flow has helped the sales team and management track the lead life cycle efficiently to nurture and convert into customers.
  • Sales and Order Management:

  1. MetricsERP provides Omnichannel order taking capability from the customers. The users have the option of entering the orders using the user-friendly order entry page as well as through the intuitive MetricsERP iOS/Android apps.
  2. One-button click Picking/Shipping capability establishes smoother order execution, as the capability provides complete visibility to the stock availability while picking and shipping the orders. The Pick tickets gets communicated automatically to the stores through email.
  3. A robust customer pricelist module has been implemented to track customer specific pricing, so that same item can be sold to different customers at different pricing. The customer pricing can be automatically updated from the sales orders itself should there be a need for price change while entering the order.
  • Integration:

  1. MetricsERP seamlessly integrates with Tally accounting system and the business uses Tally for the accounting and finance management. We have rolled out all 8 Tally integration points in relation to this project.
  2. Strong exceptional handling and data reprocessing capability ensures the numbers and transactions matches 1:1 between MetricsERP and Tally systems.
  • Data Migration and Change Management:

  1. Change Management is one of the most critical factors for an ERP implementation project. We implemented MetricsERP based on the Agile Scrum project delivery framework and Lean Six Sigma methodology, as the business requirements are validated through RRS (Runners, Repeaters and Strangers) analysis, MOSCOW (Must-have, should-have etc) analysis and System vs Process control analysis.
  2. Items, Customer, Vendors, Stock data were migrated based on the ETL (Extract, Transform and Load) principle. We have leveraged our data migration utilities to effortlessly load data form old sources to MetricsERP application.
